Roles and permissions

Every member has one role per organisation, and the role decides what they can see and do in that organisation only — the same person can be an owner in one organisation and a viewer in another.

The four roles

  • Owner — full control, including billing, deleting the organisation, and promoting or demoting other owners.

  • Admin — manages settings, team and invites; full books access. Everything an owner does except billing and ownership itself.

  • Member — day-to-day books work: reconciling, invoicing, bills, reports. No access to team management or organisation settings.

  • Viewer — read-only access to reports and data. Right for an investor, a co-owner who does not do the books, or anyone who should see but not touch.

Managing roles

  • Roles are changed from the Team list by an owner or admin.

  • Every organisation must keep at least one owner — the last owner cannot be demoted or removed.

  • Removing a member revokes their access immediately; nothing they did in the books is affected.

Choosing well

Default to member for anyone working in the books and viewer for anyone who just needs visibility. Admin is for the people who genuinely manage the organisation — usually you and your accountant.
